Gmail Filters

Using Gmail’s powerful filters, you can teach Gmail to put messages of a specific type (email to a specific Google group) into a folder along the left-hand side of your inbox, and keep those messages from going into your inbox and/or forums. Gmail calls mail folders labels.

You should repeat these steps for each Group you want to control.

  1. In the Google Chrome web browser, open Gmail, go to your forums tab (if you have tabbed inbox on) and find an email that was sent to a Google Group. All NMH Google Groups look like brackets in the email subject line. If you do not have a tabbed inbox, they will be in your primary inbox.

 

 

 

  1. Open the message, then click on the three dots (in the upper right) 

  

then click on Filter messages like this:

 

 

  1. In the window that appears, click on Create filter (notice that the filter will automatically add the list name​​​​​)

 

  1. In the next window set up the filter using these recommended settings:
  1. Check Skip the Inbox
  2. Check Apply the label: > Choose label... > New label
    • name the label then hit Create
  3. Check Also apply filter to matching conversation.
  4. Click Create filter

  1. Once the filter has been created, all future incoming messages to the Group will go into the label. You can tell that you have new messages in the label because the label name will be in bold and the number of unread messages will be indicated.
  1. If you hover over the number and click the three dots, you can color your label, choose to hide labels if there are no new messages, or edit the label.

Another helpful way to organize Gmail is using filters, either with or without a tabbed inbox. It is HIGHLY RECOMMENDED that you set up filters for your various Google Groups. For more details about NMH Google Groups read this.

 

Tabbed Gmail inbox

  1. Open Gmail from Okta, click the icon in the upper right, then click on See all settings
  1. Click on Inbox
  1. Messages to YOU go to Primary
  2. Messages to GROUPS you have not filtered go to Forums
  3. Google Docs that have been shared with you go to Update
  1. Scroll to the bottom of the Settings and Save Changes

Gmail Settings

 

To explore the settings in Gmail, click on the gear icon near the top right, then click on Settings

In the General tab in Settings you can find the following:

  • Enable input tools - useful if you will be writing emails in multiple languages
    • This setting may not appear; that’s OK, move along…
  • Default text style - choose your default email message font etc.
  • Conversation view - can be disabled if you prefer a traditional inbox as opposed to a modern Conversation Style inbox where emails on the same topic are grouped
  • Desktop notifications - very useful
  • Signature - very useful
  • Vacation responder - very useful if you will be away/unable to respond to emails
  • Make sure to Save Changes these settings when complete 

In the Theme tab in Settings, you can change the look of your Gmail account!
