In August 2023, Northfield Mount Hermon deployed 43 Canon Multi-Function Devices (MFDs) to support the administrative and academic needs of the school.  All the devices support the basic features of copying, printing and scanning, as well as some more advanced features.  The whole system relies on a modern back end called uniFlow, which allows users to send print jobs a number of different ways and then retrieve those jobs from ANY of the connected MFDs using their school issued ID card.  

School issued computers can send print jobs to the uniFlow system by using the queue ‘NMH_AdvPint’ or ‘NMH_Print’.  The appropriate queue should automatically appear on any NMH issued Windows or Macintosh computers, but depending on your personal needs or configuration you may need to manually select it at print time.  For computers not issued by NMH (like student owned computers), you can submit print jobs to the uniFlow system by adding the file as an attachment to an email and sending it to ‘secureprint@nmhschool.org’.  uniFlow supports may common file types, including ‘pdf’, ‘doc(x)’, ‘xls(x)’ and most image formats.  Google Docs can be sent and printed using the ‘File->Email as attachment…’ option.  Files attached for printing cannot contain the following characters in the document name:  < (less than) > (greater than) : (colon) " (double-quote) / (forward slash) \ (back slash) | (pipe) ? (question mark) * (asterisk)  File names also cannot end with a period or space.

There was a conscious effort to make sure each location on campus had the proper device to support the quantity and types of work done in that location.  This means there are several different Canon MFD models on campus, so the process of retrieving your print job may be a little different depending on where you are.

When you want to retrieve your print jobs, you swipe your NMH issued ID at the copier.  The ID card readers differ slightly between models.  The three most common types are pictured here:

To retrieve your print jobs (or to make copies, or scan), you ‘swipe’ your card at the MFD.  If you have never used your card with the NMH uniFlow system, you will be prompted to register it using your NMH Okta (GMail) username and password (you can also authenticate using your Okta credentials any time if you forget your card).  This only needs to be done once at one machine and then your card will work on any MFD at NMH.  After you authenticate, select ‘Secure Print’, select the print jobs you would like to print and then select ‘Print + Keep’.  Jobs sent to the uniFlow queue will be available for 24 hours.  Processed print jobs can be accessed through the ‘Printed Jobs’ button for another 20 minutes in case you need to print it again.

If you have difficulty registering your ID card, or if your ID card successfully logs in as someone other than you, please contact the Technology Service Desk (at servicedesk@nmhschool.org or x3777) so it can be fixed.

All print jobs default to Black & White and Duplex (double sided) to save money (and trees!).  Color print jobs cost 10 times more than B&W, and single sided jobs use twice as much paper.  All copy jobs also default to Black & White so you will need to manually change this setting when you copy.

Each MFD also allows you to scan either into your Windows Home Directory (NMH Employees only - H:\ScannedDocuments) or scanned jobs can be sent to you as an email attachment.  To scan, you authenticate at the copier using your NMH issued ID and select ‘Scan and Send’ (just ‘Scan’ on some devices), select either ‘My Email’ or ‘My Folder’ as a destination and then process the job like a copy job (ALL scan jobs from all devices default to COLOR!).  If you are scanning to an email attachment, the destination address will show as ‘myself@uniflow’.  THIS IS CORRECT and does not need to be changed!  uniFlow knows who you are and will be sent to the correct address, so there is no need to change this.

There are a few differences in MFD models you should be aware of:

  • All dorm MFDs are Black & White only and cannot staple, but otherwise support the same features as the Color Models.
  • Only some MFDs have Fax capability.  There is at least one Fax in each Administrative Building.  You will know if the MFD has Fax capability if there is a Fax button after you swipe in.
  • Most MFDs do not support paper sizes larger than letter (8 ½ x 11) or legal (8 ½ x 14).  High usage areas have larger format devices that will support up to tabloid (11 x 17).

NMH is part of a program to auto order toner.  The MFD will ‘call home’ when the toner is low and Canon will send out the appropriate toner cartridge (or waste toner cartridge) and the NMH Help Desk will deliver it to the proper location.  PLEASE KEEP SUPPLIES NEAR THE MFD IT BELONGS TO!  If you need toner and there is none by the MFD, please look around (in, under or around the MFD and also in any adjacent shelves or cabinets) or ask your department head.  If supplies still can’t be found, please contact the Help Desk (at helpdesk@nmhschool.org or x3777) so we can track it down.

If you are having any trouble with an MFD, you can call Canon directly at 1-800-355-1385 or scan the QR code on the top of the MFD.  Just provide them with the device serial number and a brief description of the issue.  Canon technicians usually arrive by the next business day.
